Please read these Terms and Conditions (“Terms”) carefully before renting a bicycle or participating in any tour or service offered by Velo Bike Rental (“we”, “us”, “our”). By renting a bicycle or using our services, you (“Renter”, “you”, “your”) agree to be bound by these Terms.

1. Definitions

• Bicycle: Any bicycle provided by Velo Bike Rental for rent, including but not limited to Mountain Bikes (MTB), Road Bikes, and Electric Bikes (E-Bikes), along with associated equipment.
• Equipment: Includes helmets, locks, pumps, repair kits (spare tubes, tools), maps, GPS files, child seats, and any other items provided with the Bicycle.
• Rental Period: The agreed duration for which the Renter hires the Bicycle, starting from the time of pick-up/delivery until the agreed return time.
• Services: Includes Bicycle rentals, guided tours (bike or trekking), bicycle delivery, bicycle servicing/repair, and training planning.

2. Eligibility and Booking

• Age: Renters signing this agreement must be 18 years or older. The minimum age to operate/ride a bicycle is 12 years, provided a parent or legal guardian signs this agreement, provides explicit consent, and assumes full responsibility for the minor rider. Specific age restrictions may still apply to certain bike types (e.g., E-Bikes).
• Identification & Personal Details: Before receiving the bicycle, Renters must provide valid photo identification (e.g., Passport, National ID card, Driver’s License) and details of their place of residence. A security deposit may be required (e.g., credit card pre-authorization, cash deposit, or holding of an ID document) as communicated during booking.
• Booking: Rentals can be requested via our website (https://velobikerental.com/), phone, or in person. Bookings are subject to availability. Confirmation constitutes acceptance of these Terms.
• Fitness & Skill: You declare that you are physically and mentally fit to ride a bicycle and possess the necessary skills. You must inform us of any medical conditions relevant to cycling safety.

3. Rental Period & Fees

• Minimum Rental Duration: The minimum rental duration is one day (24 hours).
• Rental Period: The Rental Period begins at the agreed pick-up/delivery time and ends when the Bicycle is returned at the agreed time and location.
• Payment Policy: The rental cost must be paid in full by cash before receiving the Bicycle, unless an alternative payment method is explicitly agreed upon in advance.
• Fees: All rental fees are as per our current price list at the time of booking.
• Late Returns: Bicycles returned after the agreed time will incur additional charges as per our current price list.
• Early Returns: No refunds or credits will be issued for Bicycles returned before the end of the agreed Rental Period.

4. Renter’s Obligations & Responsibilities

• Inspection: The Renter must check the bicycle and Equipment thoroughly before accepting it. By accepting the Bicycle, the Renter confirms it is received in good working order and condition. Any pre-existing damage or malfunction must be reported to us immediately before signing the agreement or taking possession.
• Safe Use: Use the Bicycle and Equipment safely, responsibly, and in accordanceance with all Greek traffic laws (Road Traffic Code).
• Security: The Renter must lock the bicycle securely to an immovable object using the provided lock each time it is left unsupervised. The Renter is responsible for the Bicycle’s security throughout the Rental Period.
• Malfunction: In the case of mechanical malfunction during the rental, the Renter must immediately notify Velo Bike Rental. Do not attempt major repairs yourself.
• Condition on Return: The Renter shall return the bicycle and all Equipment to Velo Bike Rental in the same good condition as received (allowing for normal wear and tear).
• Proper Use: Use the Bicycle only for its intended purpose. Do not use under the influence of alcohol or drugs. No unauthorized passengers. No subletting or loaning to third parties.
• Helmet Use: We strongly recommend wearing the provided helmet. Helmets are provided free.

5. Velo Bike Rental’s Obligations

• Provision: We will provide the Bicycle and Equipment in good, safe condition.
• Substitution: In special occasions, Velo Bike Rental reserves the right to replace any type of bicycle with another one of the same category.
• Instructions: Basic operating instructions will be provided upon request.

6. Damage, Loss, or Theft

• Full Responsibility: The Renter is wholly responsible for every accident, every damage (partial or total), or theft provoked to the rented Bicycle and/or Equipment during the Rental Period.
• Payment for Damage: The Renter pays to the company the full amount of the damage or loss, based on repair or replacement costs (using current market/manufacturer prices plus labor), regardless of the Renter’s liability or fault. These costs may be deducted from the security deposit, with any remaining balance invoiced.

7. Liability and Insurance

• Assumption of Risk: Cycling involves inherent risks. You assume all risks associated with the use of the Bicycle and Equipment.
• No Company Liability for Accidents/Damage: The Renter explicitly agrees that Velo Bike Rental is not responsible for any damage incurred to the Renter, or a third person during the rental period. No claim can be made against the company in case of an accident.
• Indemnification: You agree to indemnify and hold harmless Velo Bike Rental from any claims, liabilities, or costs arising from your use or misuse of the Bicycle or Equipment.
• Insurance: We strongly recommend you have adequate personal travel and health insurance covering cycling activities, personal injury, third-party liability, and potential damage/loss costs for the rental bicycle. Inquire about any specific insurance included with the rental, if applicable, and its limitations.

8. Receipt and Return (Pick-up / Delivery)

• Standard Procedure: Receipt and return of Bicycles occur only from the Velo Bike Rental shop location (Potos 64 002 – Thasos, Hellas), by prior agreement regarding timing.
• Delivery Option: Bicycle delivery and collection may be available to other locations as a separate service, subject to availability, additional charges (except where specified as free on our website for certain areas like Potos, Limenaria, etc.), and specific agreement during booking. Please refer to our website or contact us for details on delivery.

9. Tours & Guided Activities

• Participants must follow guide instructions. We reserve the right to refuse participation or modify tours for safety reasons. Specific waivers may apply.

11. Privacy

• We collect and handle your personal data (ID, residence, contact) for rental management and security, in accordanceance with data protection laws (GDPR). See our Privacy Policy.

12. Governing Law and Jurisdiction

• These Terms are governed by the laws of Greece. Any disputes shall be subject to the exclusive jurisdiction of the competent courts in Kavala, Greece.

13. Amendments

• Velo Bike Rental reserves the right to modify these Terms and the prices without prior warning. The Terms and prices applicable are those in effect at the time of booking confirmation.

14. Entire Agreement

• These Terms and the booking confirmation form the entire agreement between you and Velo Bike Rental.

By signing the rental agreement form or completing an online booking, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions.
